Privacy
What we collect, why we hold it, how long we keep it, and how to ask us to change or remove it.
Who we are
TuLern is a trading name of Alphabet Training Group Ltd, a company registered in England and Wales under company number 07922330. Our registered office is Central Buildings, Richmond Terrace, Blackburn BB1 7AP.
We are the data controller for everything described on this page. That means we decide what is collected and what it is used for.

What we collect when you use this website
When you send an enquiry through the contact form we collect:
- your name
- the organisation you work for, if you give it
- your email address
- your phone number, if you give it
- the course you are asking about, if you name one
- whatever you write in the message
- the IP address your browser connected from, kept with the enquiry so we can deal with automated spam
Only your name, your email address and your message are needed. The rest is there because it usually helps us answer you properly, and you can leave it blank.
We do not run advertising on this site and we do not build a profile of you from it.
What we collect when you learn with us
If you are given an account on the learning platform we hold:
- your first name and surname
- your username, and a scrambled version of your password that nobody at TuLern can read
- your email address
- the employer or organisation you were enrolled under
- the courses you are enrolled on and how far through each one you are
- your assessment score and whether you passed
- the date each certificate was issued, its reference, and how many times it has been downloaded
- the dates and times you sign in, and a record of actions taken on your account together with the IP address they came from
We keep the sign in and action record so that a certificate can be stood behind. When an employer or an inspector asks whether a certificate is genuine, that record is what lets us answer.
Why we are allowed to hold it
- To answer an enquiry. Our legitimate interest in replying to somebody who has asked us something.
- To deliver a course. Performing the contract we have with you, or with the organisation that enrolled you.
- To issue and verify certificates. Performing that same contract, and our legitimate interest in being able to confirm a certificate is real.
- To keep accounts secure. Our legitimate interest in preventing misuse of the platform.
- To meet our accounting and legal duties. A legal obligation.
We do not rely on consent for any of this, so there is no consent for you to withdraw. You can still object to anything we do on the basis of legitimate interest, and the section on your rights explains how.
Cookies and measurement
This website sets one cookie of its own. It protects a form while you are filling it in and it disappears when you close the browser.
The learning platform sets one cookie, which keeps you signed in.
Neither is used for advertising and neither follows you to other websites.
We use Google Analytics to count visits and see which pages get read. It tells us how many people came and what they looked at. It does not tell us who you are. If you would rather it did not count you, Google publishes a browser add on that switches it off everywhere.
Who else sees it
We do not sell personal information and we never pass it to anybody for marketing.
It is seen by:
- the staff who need it to answer your enquiry or run your course
- your employer, where your employer enrolled you. They can see your progress, your score and your certificates
- our hosting provider, which stores the website and the platform on servers in Europe
- Google, for the visit figures described above
- an awarding body, an inspector or a regulator, where we are required to show records
- anybody you hand a certificate reference to. They can confirm the certificate is genuine and see the course, the name on it and the date, and nothing else
How long we keep it
- Enquiries: two years from the last contact, unless you go on to become a customer.
- Learner accounts and course records: six years from the end of your last enrolment, which matches how long we must keep business records.
- Certificates: the reference, the course, the name and the date are kept indefinitely, so a certificate can still be checked years after it was earned.
- Sign in and action records: twelve months.
- Accounting records: six years, as tax law requires.
Your rights
You can ask us to:
- tell you what we hold about you and give you a copy
- correct anything that is wrong
- delete what we hold, where we are not required to keep it
- stop or limit what we do with it
- send it to somebody else in a usable format
- stop relying on legitimate interest, where you object to it
Write to support@tulern.co.uk. We will answer within one month and we do not charge.
One thing we cannot always do is delete a learner record in full. Where a certificate has been issued we keep its reference, the course, the name and the date, because removing them would make a real certificate look false. Everything else about the account can go.
If you are not happy
Tell us first, at support@tulern.co.uk, and we will look into it.
